A Quote can be converted to an Invoice or submitted to Purchasing as an Order, all with the click of a button. Deposits can be taken on Quotes/Orders/SROs and applied later as credits to Invoices.

Gift Cards

LightSpeed's Gift Card system is both versatile and easy-to-use. Retailers can choose to use pre-printed gift certificates or gift cards with magnetic stripes or barcodes. LightSpeed can also generate and print barcode labels that can be affixed to gift certificates or gift cards.

Printing and Photo Capture

Sales documents can be printed with ease across several pages, with wrapping product descriptions, notes and full-color images of your products. In addition, LightSpeed can also print a wide variety of other kinds of business and retail documents, including gift receipts, packing slips, box labels, mailing labels, product labels, claim checks and more.

LightSpeed is also tightly integrated with the iSight camera, so images of products and customers can be quickly and easily captured in your database.

Product Matrix

LightSpeed has a Size/Color Matrix in its Product window for clothing and apparel-based businesses which lets these business owners create Product records and adjust inventory levels in a convenient grid format. Jobs and Timesheets

LightSpeed's Jobs and Timesheets lets you track employee hours and lets you find out how much time your staff is spending on projects and tasks. This can be a crucial tool to determine billing for your customers, and even allows you to convert Jobs to Invoices, summarizing hours at your staff's billable rates and tasks performed. Service Repair

Lightspeed includes a service repair order, or SRO, that can book in Products that need repair and document repair progress. The SRO can print claim checks and service labels and can perform Apple GSX Warranty Lookups and Parts Lookups when used in an Apple Reseller environment.

Addresses, Contacts and Preferences

The Customer window lets you track everything about a customer. It can store multiple phone numbers, addresses, and contacts as well as capture customer photos with an iSight camera. Default language, currency, salesperson and tax code can also be set to increase accuracy and speed up transaction speed for a customer.

Marketing and Categories

Marketing activities like mass mailings and mailing label printing are facilitated by innovative categorization tools like Customer Groups and powerful search tools like the Advanced Customer Find and Customer Browser that take full advantage of LightSpeed's robust SQL database.

Notes, Calls and History

Track all notes and calls with a customer and flag them for review so that they appear automatically in the Tracker as follow-ups. View all of a customer's transactions and purchases in the History section.

iCal, Google Maps and VoIP

Action menus in the Customer window let you schedule a customer in iCal, print mailing labels, send emails, map their address on Google Maps, initiate a Quote, Order or Invoice, or phone them on Skype or the WebFones PBX VoIP phone system, all with a single click.

Labels and Barcodes

LightSpeed 2's Printing Labels feature prints to a range of label sizes for products and customers as part of a rapid data-entry system for sales transactions and inventory counts. Flexibility in codes you can choose for your labels allow for seamless processing at the sales station regardless of what you're selling, and can be printed to a label sheet or spooled on the Dymo LabelWriter.

Serial Numbers

Any serialized products are tracked as they move through the system, from being received on a purchase order to being sold on an invoice, booked in on a Service Repair Order, or transferred to a virtual warehouse - just enter a serial number in Serial Number History and see everywhere it has been in LightSpeed, instantly. If you add a serialized product to an invoice, you can access a list of available serial numbers in your inventory with the click of a button, or simply use your handheld scanner to scan in the product's serial number.

Reorder Points

One of LightSpeed 2's many "smart" features includes Reorder Point, which allows you to set reorder points for your products. When stock diminishes to the level you've set, you will be prompted to place another order using LightSpeed's clear one-click purchasing.

Count Inventory

LightSpeed 2 not only minimizes the pain of an inventory count with the Count Inventory feature, it makes the process almost...fun. Making efficient use of product labels and the barcode scanner will cut your counting time significantly, as LightSpeed keeps track of what's been counted and will aggregate your quantities for you as you scan. Counts will be stored for later review, and can be edited and amended as new products are accounted for.

Virtual Warehouses

When you have products that you want to show as unavailable for sale but are still part of your inventory, use the Virtual Warehouses feature to transfer stock from your sellable inventory to one of ten "stockpiles", ie. Demo equipment, desktop units, repairs. Products can still be tracked, but do not show in available quantities and a true picture of your inventory is simple!

Multi-Store Lookups

Keep tabs on the inventory levels of your other locations with Multi-store Lookups, providing you real-time access to detailed information of the other stores in your company! Integrated into every product's inventory status within LightSpeed for your stock levels, other locations are accessed with a single click for full disclosure.

Live Pricing Rules

LightSpeed 2's Set Selling Prices and Set Product Info give you extraordinary control over batch changes of specific subsets of your products, including tax statuses, alternate pricing levels, and markups based on category or brand. Another of LightSpeed's "smart" features, Live Rules make it easy to set up rules that can be applied automatically to your products if they meet the particular set of criteria you've set, so you don't have to think about it.

Drag and Drop Purchase Orders

Create purchase orders in seconds with drag and drop ease. Select the products you wish to order, and drag them as a group to a new PO document. Choosing the supplier will auto-populate supplier codes and costs.

One-Click Purchasing Actions

Sorting through the order requests your sales reps place throughout the day and compiling them onto purchase orders can be an onerous task, but LightSpeed 2's One-Click Purchasing categorizes the requests according to supplier and converts them to purchase orders with a single click. Each PO lists the breakdown of the order requests, including customer info, inventory statuses, ETAs, and costs.

Multiple Suppliers and Costs

Sourcing your products from more than one supplier is simple with the Cost Supplier Grid in every product card, which allows you to enter multiple suppliers and costs and to select one as your default supplier. When this product is attached to a PO, it will automatically pull the appropriate costing information depending on the supplier you've chosen.

200+ Reports

The Reporting module features over 250 reports in over two dozen categories, including Sales, Payments, Inventory Valuation, Taxes, and Commissions. All reports can be filtered for specific, ground-level information, queried by date range, and exported to Excel or PDF format. Presets allow you to save your favorite reports for quick access.

End of Day Reports

The End of Day report is a detailed daily summary of the day's sales activities, including deposits, payments, and returns, broken down by sales station. Compare your actual funds for deposit with the balances recorded in LightSpeed, and any shortages or overages are clear and easy to understand. LightSpeed gives a concise, evident summary of the day.

Commission Reports

Because commissions can be paid in a variety of ways, LightSpeed 2 includes a programmable Commissions report that allows you to quickly calculate commissions based on sell price or profit margin, and easily tallies an adjustable scale for discounted products. Split commissions are also a breeze, as invoices split between two users are broken out separately in reports.

Best and Worst Performers

The Intelligence module of LightSpeed's reporting features a cluster of predefined reports geared toward illustrating your best- and worst-performing customers, quotes, invoices, and products, as well as monthly revenues laid out in chart form. This provides you with a snapshot of your business and the its trending so you can identify strengths and weaknesses early, and respond quickly. The Add to Favorites feature saves your favorite reports for quick access later.

Accounts Receivable

Keeping tabs on your customer accounts is done with the Accounts Receivable module, tracking their outstanding invoices as they age through 30-day intervals. You can print statements, apply payments to particular invoices, set opening balances when you're bringing in customers from your previous system, and filter unused credits on sales documents.

Exports to MYOB, QuickBooks

Exporting invoices, payments, and supplier invoices to your accounting software, whether it's MYOB or QuickBooks (Mac or Windows), is a simple process of posting and exporting. Exports of invoices and payments are GL summaries, while customer and invoice detail information continues to reside in LightSpeed. Supplier invoices are exported as payables for completion in MYOB or QuickBooks.

Batch Printing

Batch Printing allows you to print separate statements for all customers with outstanding balances.

One-Click Updates

The LightSpeed Web Store lets business owners generate and maintain a fully-customizable PHP and CSS-based e-commerce site from their LightSpeed database, with a single click. Products are set up in web categories with special web descriptions, prices (if desired), and assigned searchable keywords. The Web Store re-uses the product photos already saved in a LightSpeed database, and photos can be updated in LightSpeed by simply dragging and dropping images into the Browser, or capturing them with an iSight camera.

Easy Order Processing

Web Orders are downloaded with a single-click and can be processed using LightSpeed's built-in credit card processing capability. Shoppers are matched with customer records in the database and automatically receive an email to alert them that their order has been received. If products are not in stock, the order requests can flow directly into LightSpeed's purchasing system.

Amazing Templates

LightSpeed Web Store ships with three professionally-designed templates that can be modified to suit any business. Or retailers can design their own CSS template to match an existing web site. Introducing a new item or advertising a new promotion on the Web Store, is as easy as dragging and dropping new header and sub-header graphics from your directly into LightSpeed.

Since it doesn't require a live database connection, the LightSpeed Web Store is a very secure and low-maintenance e-commerce solution. Retailers can host their LightSpeed Web Store on any web host that supports PHP 5.1 with standard options enabled, or choose among a number of attractive hosting packages offered by official LightSpeed web host GammaStream Technologies

User Privileges and Logging

LightSpeed features an advanced yet easy to use Privilege system so that business owners can set access levels or require authorization for over 160 different privileges in LightSpeed.

LightSpeed 2 integrates detailed logging into the Privilege system, so business owners can see who committed transactions to the database and when. Pull up logs for individual documents and even see failed privilege authentications. All privileges in LightSpeed can be enabled or disabled for logging.

Import Tools

LightSpeed offers powerful migration and import tools for Products, Customers, Customer Contacts, Suppliers, Invoices and POs in a specially optimized separate application called LightSpeed Import Tools. Import presets can be saved so that import files can be processed on a regular basis quickly and easily.

Natively Multi-User

LightSpeed was designed from the ground up to be a multi-user system and serve the needs of an entire sales team. LightSpeed is targetted at groups of 1 to 25 users, but is architecturally capable of serving hundreds of users.
